Spindle Document Capture case study: Platinum Stairlifts

Founded in 1996, Platinum Stairlifts is now firmly established as one of the world’s leading manufacturers of custom-built, high-quality stairlifts. From their Keighley headquarters, the company supplies its award-winning products through a growing international network of authorised dealers in the UK, Europe, North America and Australia.

The challenge

In 2012, Platinum Stairlifts realised that it needed to implement more formal, process driven business systems to cater for increased business volumes, traceability and quality assurance. After detailed evaluation, Barnsley based Wharncliffe Business Systems Ltd were appointed to implement the Sage 200 suite encompassing financials, commercials, CRM and manufacturing.

As demand and volumes have continued to grow, Platinum Stairlifts have sought to further automate business processing and maximise I.T. efficiency, most recently by implementing Spindle Document Capture. Wharncliffe Director Adrian Exley explains. “Platinum Stairlifts were keen to reduce the cost of processing incoming documents, such as suppliers’ invoices and purchase orders from the dealer network. We arranged to demonstrate how incoming business documents can be captured and archived electronically using Spindle Document Capture and then viewed on demand from within Sage 200.” The demonstration quickly proved that administration costs are immediately reduced and that the risk of misfiling important documents is eliminated. The storage of documents is also much more secure.

The solution

Spindle Document Capture was implemented by Wharncliffe and was live in less than 5 hours allowing Platinum Stairlifts to archive customers’ purchase orders and suppliers’ invoices, bringing the business a big step closer to the reality of a paper-free office.

Now our Sage 200 users don’t have to file and then trawl through filing cabinets to find the documents they need. All relevant business documentation is held electronically within our Sage 200 system and can be viewed whenever it is required.”
